1. Who we are

Boardroom Brief is a pre-call intelligence service that generates strategic briefs to help users prepare for high-stakes business meetings. This Privacy Policy explains how we collect, use, and protect personal information when you use boardroombrief.app or any related service (the "Service").

We handle your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information we collect

We collect the following types of information.

Information you provide. Your email address when you submit the brief generation form, and the contents of the form itself, which may include details about a prospect company, an industry, a stakeholder's name and role, your own company or offer, your meeting goal, and any additional context you choose to add.

Information collected automatically. Basic technical data your browser sends when you visit the Service, such as IP address, browser type, device type, and the pages you visit, along with the time and date of your interactions.

We do not currently use tracking cookies or third-party analytics. If we add either in the future, we will update this policy and provide clear notice.

We may use strictly necessary technical tools for security, routing, uptime, fraud prevention, and service delivery.

3. How we use your information

We use the personal information we collect to:

  • Generate, deliver, and improve the briefs you request.
  • Send you the brief and any related communications, such as payment confirmations or service updates.
  • Comply with legal obligations and resolve disputes.
  • Operate, secure, and improve the Service.

We do not sell your personal information. We do not use your personal information for marketing communications without your consent.

4. Information about third parties you enter into the form

When you submit a brief request, you may include information about third parties, such as the name and role of a stakeholder at a prospect company. You are responsible for ensuring that the information you provide is accurate and that you have a legitimate basis for processing it. We use this third-party information only to generate the brief you have requested and to operate the Service.

5. Information not to submit

Please do not submit confidential, commercially sensitive, client-private, health, financial, or highly sensitive personal information into the Service. The Service is designed for business meeting preparation and should not be used to process sensitive information unless you have authority to provide it and are comfortable with it being processed by our service providers for the purpose of generating the brief.

6. Third-party service providers

We use the following third-party service providers to operate the Service. These providers process information on our behalf under their own privacy and security commitments.

  • Vercel, for hosting and content delivery, in the United States and other regions.
  • Anthropic, for artificial intelligence generation, in the United States.
  • Tavily, for web research used to inform the brief, in the United States.
  • Upstash, for our encrypted data store, hosted in Sydney, Australia.
  • Cloudflare, for DNS and email routing, across multiple regions.
  • Stripe, for payment processing, in the United States, when payment is enabled on the Service. We do not store full payment card details; payment information is processed by Stripe.

Some processing of your information may occur outside Australia, including in the United States and other regions where our service providers operate. Where personal information is disclosed to overseas service providers, we take reasonable steps to ensure those providers handle personal information consistently with this Privacy Policy and applicable privacy obligations.

The countries in which information may be processed include Australia, the United States, and other regions where providers such as Vercel, Anthropic, Tavily, Cloudflare, Upstash, and Stripe operate.

7. Storage and retention

We store the primary record of your interaction with the Service in Sydney, Australia. We retain brief submissions and generated outputs for as long as reasonably needed to deliver the Service, provide support, improve quality, resolve disputes, and maintain business records. During the launch period, we may retain brief-related records for up to 12 months unless you ask us to delete them earlier and we are legally able to do so. Payment and accounting records may be retained for longer where required by law.

8. Your rights

Subject to applicable law, you may:

  • Request access to the personal information we hold about you.
  • Request correction of any inaccurate or out-of-date information.
  • Request deletion of your information, subject to any legal obligations we have to retain it.
  • Make a complaint about how we have handled your personal information.

To exercise any of these rights, contact us at info@boardroombrief.com.au. We will respond within a reasonable time, normally within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.

9. Quality and security

We take reasonable steps to ensure the personal information we hold is accurate and up to date. We use industry-standard measures to protect your information, including TLS encryption in transit and encryption at rest for stored data. No system is completely secure, but we work to keep your data safe.

If we become aware of a data breach that is likely to result in serious harm to any individual, we will notify the Office of the Australian Information Commissioner and the affected individuals as required under the Notifiable Data Breaches scheme.

10. Children

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Significant changes will be highlighted on the Service.
